4. CALL FOR OTHER BUSINESS FOR TONIGHT’S MEETING

4.1 SolarBuddy Programme • Year 2 Teacher, Sheree Samsa, made a submission to P&C about the SolarBuddy

programme. • Sheree would like to trial the SolarBuddy programme at CPS with the Year 5 students. The

programme involves children constructing solar lights that are then sent to third world countries for use by children to enable them to read and study after dark (instead of firelight or toxic kerosene lamps). Communication between the children follows via letters. A brief video was shown.

• A kit of 25 solar lights costs $750. Sheree has already secured $500 from a local Rotary club, and is requesting the additional $250 from the CPS P&C. If successful, she would like to make the programme permanent, and possibly expand it to involve more kits (linked to Rotary).

Resolution: That the Churchlands Primary School P&C provides $250 to support the introduction of this programme. Carried.

4.2 Donation Transfer • Sheree reminded members of a P&C donation of $1,000 gifted in 2018 for the refurbishment

of the existing frog habitat. This gift had been put on hold pending the development of the Creative Play Space which was to include a frog pond. Sheree respectfully requested those funds be transferred for immediate use in the 9R Shed to buy equipment and implement school-wide programmes based there. Sheree provided costings for the necessary equipment.

5. BUSINESS ARISING FROM THE PREVIOUS MEETINGS 5.1 Confirmation of New P&C General Meeting Time • The change in the meeting commencement time from 18:30 to 19:30 was put to a vote. Resolution: That the commencement time for the General Meeting of Churchlands Primary School P&C from this meeting forward shall be 18:30. Carried.

5.2 Nomination and Election of a CPS P&C Vice President • A single nomination for Vice President has been submitted to the P&C by Rochelle Swan,

cited by President, Natanael Costea.

7. PRESIDENT’S REPORT (Natanael Costea)

• See attached report. • Highlights include:

- Thank you to everyone, especially Robyn for her outstanding work and thorough handover, and Karen for her guidance.

- Natanael prefers a more delegatory leadership role to encourage more parents to initiate and coordinate the various projects and incentives agreed upon by the P&C.

- Announcement and apology for his unavailability over the next couple of weeks whilst away in Nepal on a trek and undertaking some charity work. Specific apology for not being able to attend the Easter Raffle or the ANZAC ceremony.

8. TREASURER’S REPORT (Catherine Tonkin) • See attached report. • Highlights include:

- As of 19th March, the closing cash balance of the combined main account and uniform account was $60,527 (Main Account = $50,789, Uniform Account= $9,738).

- During February and March, the main receipts were from P&C Contributions ($2,760), Netball registrations ($6,125), Welcome Picnic ($1,560), and FDMSA payments ($10,287). In addition, the Rooms 5 and 6 Cake Stall raised $559.70 last Friday (not included on the printed bank statement).

- During February and March, the main payments were for the Welcome Picnic ($2,596), FDMSA fees ($358) and EFTPOS merchant fees ($82).

- P&C voluntary contributions are down this year, so a request for a reminder for parents to pay their contribution via the P&C Chatter +/- Flexibuzz was made.

9. Principal’s Report (Kim Fraser)

• See attached report. • Highlights include: - Thank you to the P&C for their ongoing support and assistance through what has been a

busy start to the school year, and a warm welcome to the new P&C president. - Creative Play Space: A long interval between actions, awaiting quotes and deliberating on

them. The cost of the play space is ~$100,000. With the School’s budget finalised, they can match the P&C’s contribution, bringing total funds available for this project to $80,000.

- Mrs Fraser has requested Programmed review some costings, with the possibility of lowering the overall cost slightly.

- It may be that the project goes ahead without the frog pond area, which the School could construct as a community (as it does not involve any major engineering).

- Jarrah seating may be donated to the area, further reducing costs. - There was general discussion as to whether the proposed play space has been assessed

by the Education Department’s Quality Team to ensure it meets the National Quality Standards. CPS was assessed as lacking in this area following the last Quality Audit, instigating the formation of the Focus Group in 2018. No answer given.

- School Board: New staff members approved; Libby Trotter and Lucy McNamara. Farewell and thank you to Rosie Russell for Board time served.

- Currently in development stage of providing a portfolio of responsibilities for each Board member, compatible with their skills and abilities. Want to lift the profile of the School Board generally. There was no P&C member or report supplied at the last Board meeting.

- 2019 Parent position will be announced at the beginning of Term 2. Five parent nominees currently in process of being voted in (online voting program having some technical difficulties).

10. Uniform Shop Report (Meike Chang)

• See attached report. • Highlights include: - The Uniform Shop has not been as busy as it was earlier in the term. People are

beginning to purchase winter clothing (jumpers and long pants). The majority of sales continue to be over the counter, with the total takings for February and March being $18,847, with total payments of $13,515 (movement of +$5,333).

- First order of Leavers polos and jumpers arrived last week, as planned. - Reminders:

- The uniform shop sells navy tights for $10. - Final opportunity for parents to order Leavers items was open until 5th April, with delivery expected Week 2 of Term 2. - All Choir members need to purchase their Voice shirts ($35) prior to ANZAC service on 12th April.

11. Canteen Report (Philippa de Morton)

• See attached report. • Highlights include:

- Thank you to Rochelle for a thorough handover. - The Canteen roster for Term 1 is now full, following call out for volunteers (9 new parents

enlisted). - The Canteen Committee would like to welcome Hayley Sims as a new member. - In Term 2 the Winter Menu will commence, with the return of the much loved homemade

pies. - Thanks to Anna for providing delicious orange foods for recess on Harmony Day, and

dealing well with the complication of swimming lessons, delivering lunches early and late as required.

- The Canteen Account balance for end of February was $29,234.54 (net movement of +$3729.72).

12. Fathering Project Report (Matt Rainbow)

• See attached report. • Highlights include: - Monthly Committee meeting held Sunday 10th March, with next meeting on 3rd April. - Events for year locked in as follows:

1st Dads/Kids Event - Annual Bike Ride around the Lake, Sun 7th April, 1pm. 1st Dads Event - Driving Range, Thurs 9th May, 7pm. Bunnings Sausage Sizzle - Sat 31st August (need Public Liability Insurance for CPS P&C by May. Annual Camp Out - Sat 9th Nov- Sun 10th Nov.

13. GENERAL BUSINESS

13.1 ANZAC Wreaths - Friday 12th April, 2pm. - Foam wreaths ordered by Mr Johnson (1 per class, Years 1-6).

- 1-2 volunteers per class required to create their class’ wreath. - Rochelle Swan officially invited by Kim Fraser to be an official guest at the ceremony. 13.2 Easter Raffle - Thursday 11th April. - Donations down this year, ticket sales up. - Rochelle will send reminder of final dates for donations and purchasing tickets to all

class reps to distribute, and will clarify Year 1 management of the event. 13.3 Election Day Sausage Sizzle and Cake Stall - As in previous election years, the P&C will hold a sausage sizzle and cake stall on

Election Day, 18th May. - Members present at the meeting, after much discussion, agreed that the Year 5 cohort

will run this stall with volunteers, and the whole school will be invited to donate items. - Later in the year, Year 6s are welcome to request a donation from the P&C toward their

camp if they would like.

P&C President Report

April 2019 Thank you everyone for welcoming me on board. It is a new experience and I look forward to understanding more and more our wonderful community.

I have received the handover a few days ago and I am reading through it to get a grip of where we're at. I want to thank Robyn for her outstanding work in this role and Karen who's already been very helpful. The executive has welcomed me and I look forward to empowering you all to do your best.

It was also great to meet some of the fathers during the Fathering Project's catch-up on the 10th of March.

My leadership will be more of a delegating one for this purpose so we can involve more and more the parents in the projects we have. As such, please know that I'd like people to step up, have initiative and a sense of freedom to explore and coordinate the incentives we agree upon.

I will be away from tonight until Easter in Nepal, trekking and undertaking some charity work, and this means I will miss both the Easter Raffle and the Anzac Day celebration. Please accept my apologies, I would have loved to be directly involved.

I value everyone's support and contribution in the P & C and I look forward for everyone's engagement in the projects ahead.

PRINCIPAL’S REPORT P & C MEETING

Term One has been jammed packed! There has been an amazing buzz around the school with so much

activity happening in and out of the class. We have had lots of generous parents offering help in many

different ways which is fantastic in building that community feel.

I would like to thank the P & C for your amazing support. Your contribution in supporting the school in

many ways and in value adding to our resources and the educational outcomes of our students is very

much appreciated.

We warmly welcome the new P & C President Natanael Costea and the P & C team. I wish you all a great

holiday break and look forward to what Term 2 brings!

Creative Play Space

This has been a very long process waiting for quotes and deliberating on the outcomes of these. We are

still in the process of working with Programmed as the costs have exceeded $50 000, as such are required

to engage with them as project managers. Our school budget was finalised last Tueasday by the

Department and we have been very fortunte to set aside another $40 000 to match the P & C donation.

This will enable us to proceed exculding the Frog Pond. This section of the build does not require specific

engineering requirements and is something we could do as a community for much less than what was

priced through a company. We will keep the community informed, once we have final costings/timelines

etc.

School Board Meeting 25 March 2019

Two new School Board staff member was approved by the board. We welcome Libby Trotter and Lucy McNamara to the staff positions. At the last meeting we farewelled and thanked Rosie Russell who has contributed in supporting and developing positive directions.

We reviewed the Terms of Reference to ensure it was in line with amended Department guidelines. We continued developing further the focus on board member’s portfolios. The board are keen to

support using their skills and knowledge to value add to our directions and planning in various areas where their skills can be actively utilised. The board are also keen to tap into parent’s skills and knowledge in the future.

We have 5 parent nomination for school board parent representative. An electronic voting system will be developed and open for all parents and community to vote. The new member will be announced at the beginning of Term 2.

A plan outlining when board members are able to attend special assemblies/events etc is to be developed. Lifting their profile and actively engaging in school for parent board members has been a focus.

There was no P & C representative or report. Next meeting is 13 May at 6.30 in the staff room.

Fathering Project Report – 2 April 2019 • Fathering Project Committee Meeting held Sunday 10th March. 1st Dads/Kids Event – Round the Lake Bike • Date/Time – Sunday 7th April – 1pm. • MailChimp – Sent out to email list. • Flyer: Posted on school noticeboards (attached). • Targeted communications to lower years. • Organised an Ice Cream Van organised at events end. 1st Dads Event – Driving Range • Date/Time – Thursday 9th May – 7pm Bunnings Sausage Sizzle • Date/Time: Saturday 31 August (Saturday before Fathers Day) • Date secured with Bunnings and paperwork submitted. • Note public liability insurance for P&C required by May. The Annual CPS DUCKs Bike Ride is on again in 2019!

When: Sunday 7th April 2019 Time: 1pm Where: Herdsman Lake Playground

(south west area of herdsman lake, off lakeside drive between Dacelo close and heron place)

Get Dad (or step-dad, uncle, cousin, grandfather, friend...) Get your bike - Get around the lake! Bring a drink and some money, as we have arranged for an ice cream truck to visit us again like last year. This is an event for all dads and father figures to spend quality time with their kids.
